MapleBooks is an invoicing, receipt OCR, expense tracking, basic books visibility, and export tool for small Canadian businesses. This Privacy Policy explains what information MapleBooks collects, how it is used, how it is protected, and how users can request access, correction, export, or deletion.
For this policy, "MapleBooks", "we", "us", and "our" refer to LimeKing Development. "You" means the person or business using MapleBooks.
Information We Collect
Account information
We collect information needed to create and secure your account, including your email address, name if provided, authentication identifiers, and password credentials handled by our authentication provider. We do not store your plain-text password.
Company information
When you create or manage a company in MapleBooks, we collect business information such as company name, business address, province or territory, tax registration details if entered, and user roles or company membership records.
Invoices and client records
MapleBooks stores invoice information you enter, including client names and contact details, invoice numbers, dates, due dates, line items, notes, discounts, taxes, totals, status, payment records or payment status, and PDF invoice exports generated at your request.
Receipts and OCR
If you scan or upload receipts, MapleBooks may collect receipt images, vendor name, date, subtotal, tax, total, currency, category, OCR extraction status, extracted text, correction history where applicable, and error messages needed to diagnose failed receipt processing.
Receipt OCR is assistive. OCR results may be inaccurate and should be reviewed before you save or rely on them for business records.
Expenses and books
MapleBooks stores expense and bookkeeping records you create or generate, including vendor names, expense dates, categories, amounts, taxes, notes, receipt links, and books records created from receipts, expenses, invoices, or other supported actions.
Bank CSV imports
If you import bank CSV files, MapleBooks stores the transaction data you choose to import, such as transaction date, description, amount, account label, category, and reconciliation status. MapleBooks does not currently connect directly to your bank account.
Exports
When you generate PDFs, CSVs, ZIP files, audit packs, backup packs, or other exports, those files may include the same business, receipt, invoice, expense, bank import, or books data described in this policy.
Exports are created at your request. When you share or save an export through your device, the destination app or service handles the file under its own privacy practices.
Billing information
If paid plans or subscriptions are enabled in the future, billing may be handled by a payment processor such as Stripe. MapleBooks does not store full payment card numbers. We may store subscription status, plan, customer identifiers, invoices, payment status, and related billing metadata.
Support communications
If you contact support, we collect the information you provide, such as name, email address, subject, message, screenshots or files you choose to send, device, browser, operating system, app version, and steps to reproduce an issue.
Do not send full card numbers, full Social Insurance Numbers, government login credentials, bank passwords, or other highly sensitive information to support.
Diagnostics and logs
MapleBooks may collect technical information needed to operate, secure, and troubleshoot the service, such as authentication session status, server request metadata, error messages, function execution logs, and device or browser information provided by standard web and mobile platform requests.
MapleBooks does not currently use advertising trackers or third-party ad networks.
How We Use Information
We use information to provide and maintain MapleBooks, authenticate users, protect accounts, enforce company-level access controls, create invoices, receipts, expenses, books records, and exports, process receipt OCR, provide support, improve reliability and security, process billing if paid plans are enabled, and comply with legal, security, and operational obligations.
We do not sell personal information. We do not use your information for cross-app advertising tracking.
Service Providers
MapleBooks uses service providers to operate the app. These providers process information only as needed to provide services to MapleBooks.
Production providers as of June 2026:
- Supabase — authentication, database, file storage, and secure backend functions for MapleBooks.
- OpenAI — receipt OCR text extraction when you scan or upload a receipt image. Receipt images or encoded image data are sent to OpenAI only to extract vendor, date, tax, and total fields.
- Stripe — payment processing only if paid billing is enabled in your account.
- Vercel — hosting for the MapleBooks marketing website and legal pages.
Receipt OCR Processing
Receipt OCR requires the receipt image to be processed by MapleBooks backend infrastructure (Supabase) and OpenAI. OCR is used only to help extract receipt fields such as vendor, date, tax, and total.
You are responsible for reviewing OCR results before relying on them.
Data Storage and Security
MapleBooks uses authentication, role-based company access, row-level database controls, and HTTPS/TLS in transit. Cloud providers may also encrypt data at rest.
No system is perfectly secure. You are responsible for keeping your login credentials secure and exporting or backing up records that are important to your business.
Data Retention
We retain account and business records while your account is active or as needed to provide the service, comply with legal obligations, resolve disputes, prevent fraud, or enforce agreements.
Some records may be soft-deleted first and later removed from active systems according to operational processes. Backup copies may persist for a limited period before they are overwritten or deleted.
Your Choices and Rights
Depending on where you live, you may have rights to access personal information we hold about you, correct inaccurate information, export your data, request deletion of your account or company data, withdraw consent where processing is based on consent, and ask questions about how your information is handled.

Account and Data Deletion
You can delete some records in the app, such as eligible invoices, expenses, receipts, or other business records.
To request full account deletion, company deletion, or deletion of data that cannot be removed in the app, email support@getmaplebooks.com with the subject line "Account deletion request".
We may need to verify that you are the account owner or authorized company owner before deleting data. Some records may need to be retained where required by law, security, fraud prevention, billing, backup, or dispute-resolution obligations.

Children's Privacy
MapleBooks is intended for business use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.
International Processing
Your information may be processed or stored in Canada, the United States, or other jurisdictions where MapleBooks or its service providers operate. Privacy laws in those jurisdictions may differ from the laws where you live.
Professional Advice Disclaimer
MapleBooks is a third-party bookkeeping tool. MapleBooks does not provide legal, tax, accounting, payroll, or financial advice. You are responsible for reviewing your records and consulting a qualified professional where appropriate.
Changes to This Policy
We may update this Privacy Policy as MapleBooks changes. If we make material changes, we will update the effective date and provide notice where required.
